How to Avoid Meeting Confusion in Microsoft Teams

Have you ever experienced the frustration of waiting for a meeting to start in Microsoft Teams, only to be greeted with the message “When the meeting starts, we’ll let people know you’re waiting”? If so, you’re not alone. Many users have encountered similar issues, and finding a solution can be a challenge.

The Permissions Confusion

One of the most helpful responses to this problem came from @ChristianJBergstrom, who suggested that it could be a permissions confusion in the background. This is especially relevant for consultants like me, who often find themselves signed in to multiple Microsoft accounts, including those of their clients.

The Outlook Dilemma

In my case, I had created a meeting in Outlook using my personal account and added a Teams link to it. When I sent the meeting invitation, everything seemed fine. However, when I logged in to the Teams app on my client’s Microsoft account, the meeting was nowhere to be found. The frustrating “When the meeting starts, we’ll let people know you’re waiting” message continued to haunt me.

The Identity Crisis

Upon further investigation, I discovered a permissions bug or UI issue. In the Teams app calendar, I could see myself listed as the organizer of the meeting. However, when I tried to change the meeting options, I was told that I wasn’t the organizer, and my personal email address was displayed instead of my client’s email. It turns out that my browser was mistakenly thinking that I was logged in to my client’s account.

The Solution

To prevent this problem from occurring, follow this simple workflow if you regularly sign in to different Microsoft accounts on the same machine. When creating a meeting invitation, log in to the web interface for Teams and send the invitation from there. By doing so, you eliminate any chance of identity confusion. The meeting will then appear in your Teams app, and you won’t encounter any issues when editing the meeting options or joining your own meetings.

Put It to the Test

Feel free to try out this workflow for yourself. Though it’s unfortunate that some credential handling issues may be at play here, this workaround should alleviate the frustration. I hope this solution helps you avoid meeting confusion in Microsoft Teams.
